Terms of Service

At a glance
- We sell you a single-use, spec-compliant document photo delivered by email. That's the whole product.
- You don't create an account. Each purchase is its own standalone transaction governed by these terms.
- Your photo stays yours. We hold a narrow licence to process and deliver your order, then delete it per our Privacy Policy.
- We refund you if the issuing authority rejects the photo for a spec failure we should have caught — see our Refund Policy.
- Our total liability for any order is capped at what you paid for that order. These terms are governed by Singapore law.
1. Who you're contracting with
RapiFoto is operated by RAPIFOTO PTE. LTD. (UEN 202619769M), a private company limited by shares, incorporated in Singapore. References in these terms to "we", "us", and "our" mean RAPIFOTO PTE. LTD.
References to "you" and "your" mean the individual purchasing a photo for themselves or for someone they are legally authorised to act for (e.g. a parent buying for their minor child).
2. What the service is
The service produces one thing: a digitally-delivered photo file formatted to the published specification of the destination authority you select at checkout. Specifications include dimensions, background colour, file format, file size, head-and-shoulders crop ratios, and any other rules published by that authority.
Your photo is delivered by email within 60 seconds of payment. For full delivery terms, see our Delivery Policy.
Each purchase produces a single photo for a single SKU (e.g. one Singapore passport photo, or one Vietnam e-Visa photo). One purchase covers one SKU. If you need photos for multiple purposes, you purchase each separately.
3. How buying works
To purchase a photo:
- You upload a selfie on a SKU landing page (e.g. /en-sg/passport-photo).
- Our pre-check evaluates the upload against the destination authority's published rules. If it fails any major rule, we explain why and you can re-upload.
- If the pre-check passes, you see a watermarked preview and proceed to payment.
- Payment is processed by our payment processor (Stripe for most markets; 2C2P for Malaysia and Indonesia). You provide payment details directly to that processor — we never see or store your card number.
- On successful payment, your finished photo is emailed to the address recorded by the payment processor at checkout.
You do not create an account. There is no recurring fee, no subscription, and no continuing relationship beyond the single transaction unless you make a further purchase.
4. Pricing and payment
Prices are shown in the local currency of the SKU's destination market on every SKU landing page and on the payment-processor checkout page before you confirm. All prices include any applicable taxes unless otherwise noted at checkout.
We reserve the right to change prices for future orders at any time. Price changes never apply retroactively to orders already paid.
If your payment is declined, reversed, or charged back, your right to the delivered photo lapses and we may take the actions described in Section 8.
5. Your photo and your intellectual property
You retain all ownership and intellectual property rights in the photo you upload and in any photo we deliver to you.
You grant us a limited, non-exclusive, royalty-free licence to process your uploaded photo solely for the purpose of:
- Running compliance checks against the destination authority's published specification;
- Producing the spec-compliant output photo;
- Delivering that output to you by email;
- Retaining the photo for the windows set out in our Privacy Policy (Section 5 of that policy) for backup re-delivery and refund processing.
This licence terminates automatically when we delete your photo per the retention schedule. We do not use your photo for any other purpose — including marketing, model training, identification, or sale to any third party. Section 3 of our Privacy Policy covers biometric handling in detail.
You confirm that you have the right to upload any photo you submit, and that no third party's rights (including publicity, image, or copyright rights) will be infringed by your upload or by our processing of it.
6. Compliance scope and limits of what we promise
The destination authority's photo specification is the one rule set we work to. Our promise is that the photo we deliver matches that published specification as of the date of your order.
We do not promise that:
- Your application will be approved by the destination authority. Approval depends on many factors outside the photo (eligibility, form correctness, supporting documents, authority discretion).
- Your application will avoid delay or extra processing. Some authorities request resubmissions for non-photo reasons.
- The authority's published specification will not change after your order. Specifications occasionally change; we do not retroactively refund orders that conformed to the spec on the order date.
What we do promise is set out in our Refund Policy: a full refund if the authority rejects the photo for a spec failure we should have caught.
7. Acceptable use
You agree not to:
- Upload a photo of any person other than yourself or someone you are legally authorised to act for (e.g. your minor child as a parent or guardian).
- Upload obscene, illegal, or otherwise harmful content.
- Use the service for any purpose other than producing a document photo for a real application to the selected authority.
- Resell, sublicense, or commercially redistribute the delivered photo or the underlying service to third parties.
- Attempt to interfere with, probe, scan, or circumvent any security or rate-limiting measures on the service.
- Use automated tools (scrapers, bots, headless browsers) to access or place orders, except for accessibility tools that you operate for your own personal use.
8. Service refusal, fraud handling, and chargebacks
We reserve the right to refuse, cancel, or refund any order at our discretion, including (but not limited to) orders that:
- Appear to involve fraud, stolen payment methods, or identity misuse;
- Originate from emails, payment methods, or IP addresses associated with prior unwarranted chargebacks against us;
- Violate the acceptable-use rules in Section 7;
- Are placed in a market or for a SKU we are no longer supporting at the time of order processing.
If you file a chargeback, payment dispute, or reversal that we reasonably consider unwarranted (for example, after successfully receiving the delivered photo), we may permanently decline future orders from the email, payment method, or device associated with the chargeback. We may also share information about the chargeback with payment networks and fraud-prevention databases as permitted by law.
If you believe a payment problem occurred in good faith, email support@rapifoto.com before filing a chargeback — we resolve almost all of these directly within one business day.
9. Refunds
Our refund commitments and process are set out in full in our Refund Policy. The Refund Policy forms part of these Terms.
10. Privacy and data handling
How we collect, use, store, and delete your data — including your photo as biometric data, your email address, and your payment metadata — is set out in our Privacy Policy. The Privacy Policy forms part of these Terms.
11. Sub-processors
We rely on trusted third parties to process payments, host our site, run AI image processing, deliver emails, and protect against abuse. Section 7 of our Privacy Policy lists the categories of sub-processors and the regions they operate in. By placing an order you authorise these sub-processors to process your data for the limited purposes set out there.
12. Disclaimers
Other than the express promises in our Refund Policy and as required by law that we cannot exclude, the service is provided on an "as is" and "as available" basis. To the maximum extent permitted by law, we exclude all implied warranties, including any warranty of merchantability, fitness for a particular purpose, and non-infringement.
We do not warrant that the service will be uninterrupted, error-free, or available at any particular time. We do not warrant the accuracy, completeness, or timeliness of any information published on the service (for example, our summaries of authority specifications).
13. Limitation of liability
To the maximum extent permitted by law, our total aggregate liability to you in connection with any order or its delivery — whether in contract, tort (including negligence), breach of statutory duty, or otherwise — is capped at the amount you paid for that order.
We are not liable for indirect, consequential, special, incidental, or punitive losses, including (without limitation): loss of profits, loss of revenue, loss of opportunity, missed travel plans, denied entry, visa or passport application rejection, application fees paid to any authority, costs of resubmitting an application, or any other downstream consequence of an authority's decision on your application.
Nothing in these terms excludes or limits liability that cannot be excluded or limited under Singapore law, including for fraud, fraudulent misrepresentation, or death or personal injury caused by our negligence.
14. Indemnity
You agree to indemnify and hold us harmless from any third party claim, loss, or expense (including reasonable legal fees) arising out of:
- Your upload of a photo of a person you are not legally authorised to upload a photo of;
- Your breach of the acceptable-use rules in Section 7;
- Your use of the service in violation of any applicable law.
15. Termination
These terms apply for the duration of each order — from the moment you start checkout through to (a) delivery of the photo plus (b) the expiry of the refund-eligibility window set out in our Refund Policy, plus (c) the data-retention window set out in our Privacy Policy.
Sections 5 (IP), 8 (Service refusal), 12 (Disclaimers), 13 (Liability), 14 (Indemnity), 17 (Governing law), and 18 (Miscellaneous) survive after the order completes.
16. Changes to these terms
We may update these terms over time. Material changes apply only to orders placed after the change takes effect — your order is governed by the version of the terms in force on the date of your purchase.
The "Last updated" date at the top of this page always reflects the most recent revision.
17. Governing law and jurisdiction
These terms are governed by the laws of the Republic of Singapore. The Singapore courts have exclusive jurisdiction over any dispute arising out of or in connection with these terms or your use of the service.
If you are a consumer resident outside Singapore, you may have additional non-excludable rights under your local consumer-protection law. Nothing in these terms affects those rights.
18. Miscellaneous
Entire agreement. These terms, together with our Refund Policy and Privacy Policy (each incorporated by reference), constitute the entire agreement between you and us in relation to your purchase.
Severability. If any provision of these terms is held unenforceable, the remaining provisions continue in full force.
No waiver. A failure or delay by us in enforcing any provision is not a waiver of our right to enforce it later.
Assignment. You may not transfer your rights under these terms to a third party. We may assign our rights and obligations to an affiliated or successor entity (e.g. as part of a corporate reorganisation) without your consent.
Independent service. RapiFoto is an independent service and is not affiliated with, endorsed by, or operated on behalf of any of the government authorities whose photo specifications we work to (see Section 13 of our Privacy Policy for the full non-affiliation statement).
